How it works

Set up for you, in a week.

You do not configure anything. You do not learn new software. You answer a few questions and then you have an assistant.

  1. We talk for an hour

    You tell us how your business runs — who matters, what is urgent, how you like to write. We set Cleo up around that. No forms, no templates.

  2. You connect your accounts

    Gmail, Google Calendar, Todoist. You click through Google's own consent screen; we never see your password. Takes about ten minutes.

  3. Cleo starts on Monday

    A briefing lands in Telegram each morning. From there you just talk to it — the way you would talk to a person who works for you.

The morning briefing

At 07:00, three or four sentences: what is on today, what moved, what is late. Read it on the way to the workshop and you already know your day.

Email triage and drafts

Cleo reads every message, tells you the handful that need you, and writes the replies in your voice. You send, edit or ignore. It never sends on its own.

The calendar

Finds the slot, proposes the time, spots the clash before it happens. "The 14:00 has moved to 13:30. That overlaps your call with Bregenz."

Tasks and follow-ups

Everything you promised somebody lands in Todoist without you typing it. Cleo chases the quotes and invoices nobody answered.

It learns your business

Who your customers are, which supplier is unreliable, how you word a price increase. Written down in plain language you can read and correct. Week five is better than week one.

It speaks German

Written as German, not translated from English. Cleo uses Sie, and it writes the way you would write to a Bauleiter or a Steuerberater.

You are handing over your inbox. That is a real decision, so here is exactly how it works.

Your own instance

Cleo runs in a container that belongs to you alone. Your email and your notes are not in a shared database with other customers. There is no pooled index, because there is no pool.

Hosted in Germany

On German servers, under German and EU law. Your data does not leave Europe to be stored, and we can name the datacentre if you ask.

Nothing is sent without you

Cleo drafts. You approve. There is no setting that turns this off, because it is the point. Every outgoing message passed through your hands.

No training on your data

Your email is never used to train a model — not ours, not a supplier's. We pay for the kind of access that forbids it.

You can end it

Withdraw Google's access in one click from your own Google account. Ask us to delete everything and we delete it, within 30 days, and confirm in writing.

You can read what it knows

Cleo's notes on your business are plain text files, not a black box. Ask for them and you get them. Tell it something is wrong and it corrects the file.

The things people actually ask.

Can it send an email without asking me?

No. Cleo writes the draft and shows it to you. You send it, edit it, or leave it. There is no autonomous mode and no toggle to enable one. This is the design, not a setting — it is the reason people are willing to connect their inbox at all.

€399 is a lot for software.

It is, which is why Cleo is not sold as software. The comparison is the assistant you would otherwise hire: €1,500–3,000 a month part-time in Germany, €4,000–8,000 full-time with employer costs. Against that, Cleo is roughly an 85% saving, and it does not take holidays or hand in notice. If what you want is a €30 inbox tool, those exist and they are good at what they do — Cleo is a different purchase.

Where is my data, exactly?

On servers in Germany, run by Hetzner. Your Cleo runs in its own container with its own storage — not a shared database. Google account access happens through Google's own OAuth consent, so we never see your password, and you can revoke it from your Google account at any moment without asking us. Full detail is in the privacy policy.

Is my email used to train an AI?

No. Your messages are never used to train any model, ours or a supplier's. We use commercial arrangements that contractually exclude training on customer content. The notes Cleo keeps about your business stay in your instance and are readable by you.

Do I need to be technical?

No, and that is deliberate. You do not install anything, build any workflow or learn a new interface. We set Cleo up for you, and afterwards you talk to it in Telegram — the same way you message anyone else.

What if it gets something wrong?

It will, occasionally, the way a new assistant does in month one. You tell it, it corrects the note, and it does not repeat the mistake. Because nothing is sent without your approval, a wrong draft costs you ten seconds, not a customer.

What happens if I want to stop?

You cancel with one month's notice, revoke Google's access yourself, and ask us to delete your instance. We delete it within 30 days and confirm in writing. There is no export you have to fight for, because your data was never mixed in with anyone else's.
